Understanding the ATS System

Have you ever wondered why your job applications seem to disappear into a black hole? Chances are, they are getting lost in an Applicant Tracking System (ATS). ATS is a software used by many large companies, including MNCs and regional SMEs with high headcounts, to streamline their hiring process. It scans resumes and applications, filtering out candidates who don’t meet specific criteria. While it may sound intimidating, hacking the ATS system is simpler than you think!

Hack 1: Include HR-Defined Skills

One of the easiest ways to get past the ATS is by using HR-defined skills. In Singapore, SkillsFuture’s Skills Framework offers a comprehensive list of widely recognized skill definitions. Recruiters often input these specific skills when setting up their ATS filters. By aligning your resume with these recognized skills, you increase your chances of making it through the initial screening. Check out the SkillsFuture Singapore Skills Framework for the exact skills relevant to your industry.

Hack 2: Spell Out Abbreviations and Acronyms

Different industries often use the same abbreviations and acronyms but with different meanings. To avoid any confusion, spell out the full term and then include the abbreviation in brackets. For instance, consider the abbreviation “BA.” In the business world, “BA” typically stands for Business Analyst. However, in academia, “BA” commonly refers to a Bachelor of Arts degree. By spelling out the full term and then including the abbreviation, you ensure that the ATS and recruiters understand exactly what you mean, regardless of the industry. So, you would write Business Analyst (BA) or Bachelor of Arts (BA) accordingly. This step helps ensure your resume is accurately interpreted by both the ATS and human readers, increasing your chances of passing the initial screening.

Hack 3: Use Relevant Keywords

It might be tempting to stuff your resume with every keyword you can think of, but this can actually work against you. Focus on using the most relevant keywords, particularly those identified in Hack 1. Overloading your resume with keywords can dilute your match rate and make it harder for the ATS to determine if you’re a good fit for the position. Quality over quantity is key here.

Hack 4: Avoid Overusing Graphics

While a well-designed resume can stand out, too many graphics can confuse the ATS. Unless you’re in a field that requires a portfolio of work, such as graphic design or marketing, keep graphics to a minimum. Use them sparingly and ensure they are professional. Text-heavy resumes are more likely to be accurately read by the ATS.

Hack 5: Ensure Your Document is ATS-Readable

The easiest way to check if your resume is ATS-readable is to try copying and pasting the text from your resume into another document. If the text copies accurately, your resume should be fine. If not, you may need to change the format. Stick to standard fonts, clear headings, and avoid using tables or multiple columns, which can confuse the ATS.
